Problem 

Within a multibillion project across a 10 year time period, a multitude of Key Milestones exist within a Multinational Professional Services Organisation.  Payment for Services is heavily based on the completion of these milestones on a regular cycle.  Reporting of these milestones and their status is the lifeblood of the PMO. 

Product 

  • The project data will be stored and monitored using Microsoft Project 2003.
  • Other sources of data exist locally which is maintained locally through Active Directory.
  • Data must be secured for internal purposes, however final reports must be available in hard and soft formats for processing.
  • The manipulation for some of the reports must be available for drilling down and slicing and dicing across the organization.
  • Other Reports require the data to be filtered for fields within the data itself.  This is very hierarchical and speed is of high importance. * Microsoft recommended that for filtering and sorting of data in such an instance performance is improved by use of SQL in a flat file structure

The Current staff

  • Will be spread across a wide geographical area with access to internal infrastructure through Severs or VPN.
  • Will grow to a large number as more projects included and stakeholder numbers increase.

  • have no knowledge of Project Server but training will be provided form an ab-initio basis, which will be rolled out in staggered approach over a longer period.

Solution 

A bespoke reporting system to be developed which provides secured data for consumption by multiple brokers. 

SQL

  • A view to be created in SQL to allow cross views joins while restricting the data available.
  • Look-ups to field values included in view to add sense to data.
  • Security can be attached to the use of this view and internal support can amend this view when required.
  • DTS used to create staging table to provide data for Offline processing during out of hours periods while minimizing affect on live Transactional Processing.
  • Scheduled Creation of OLAP cubes to allow offline slicing and dicing of data where required, within Analysis Services.

ASP

·         A simple agent will allow the provision of the contents of the view across HTTP to provide a broker to be connected.  This can be a web method for delivery of data but ASP selected to allow some formatting and viewing of data in a raw format.

·         ASP page allows the passing of parameters to filter the data as required.

·         Stored on Project Server with access allowed through Project Security.

·         Central Control of view allows inclusion of business rules and consistency of reporting.

·         Access, Excel or any other tool can be allowed access to view securely and easily through ODBC. 

Excel

  • Excel template created to include standard formatting.
  • VB script used to allow provision of filter fields.
  • VB script provides Single click downloading of filtered and sorted data to local staging table and provision of standard reports.
  • Allows the local users to integrate reports in any required documents, Word, Excel etc.
  • Standard reporting can be filtered and amended for localized needs quickly and easily by confident users.
  • Template Secured, stored and Controlled through Sharepoint Portal Server.
  • Automatic removal of scripting allows distribution of snapshot reports in Excel.

PWA

  • Custom report in PWA allows use of OLAP cube with Pivot table functionality out of the box.

ROI 

  • Reports can be produced by all staff members in a consistent manner.
  • Report Creation has been reduced from 3 days to 3 minutes (at high server demand period). (.002% of time)
  • Consistent reporting is available to all staff irrelevant of location.
  • Data is controlled, secured by central support team and appropriate SLA.
  • Formatting and Adhoc reporting facilities are maintained locally with the user.
  • The immediate need for training yesterday is removed and can be focused on Use of Project application, instead of reporting.
  • Future development using the data can use the infrastructure in place to extract the data from the ASP Page or View.
